To chime in with others, I would try to avoid dates where there are clashes with other events and try to accomodate the larger "student" population.

Regarding WAGS and family, promoting the alternatives for them is a definate must. Would it be possible for your wife to show people round, or even rustle up a local guide??

As for timing, most people will have to add at least one day to get to you, and another to return. With the 2-3 days on site this will add up to almost a week. Given the cost and time involved, I would suggest considering setting the event mid-week and turning it into a 3-4 day war-gaming "short-break" holiday with added local attractions.
